A fantastic opportunity is available for a Procurement Personal Assistant  to join our Global Procurement team.

The position requires a highly motivated, enthusiastic, flexible and pro-active PA/Analyst to undertake a range of analytical and administration duties primarily for the Head of Procurement Health and his direct team based in UK, Slough.

 

 

Responsibilities:

  • Consolidate large detailed & complex databases into clear pivot tables for analysis within given timescales.  This includes scanning for errors, use of formulas in Excel, ability to re-structure given data for reporting, manipulation of data into advanced charts and ability to re-define this data into presentations.
  • Consolidate and summarise purchasing performance and forecasting data on a global basis for reports and communications, including template design and follow up with Procurement Managers.
  • Support for negotiations preparation (RFQs) using advanced E-procurement tools.
  • Advanced departmental and travel budget tracking.
  • Preparation and organisation of presentations in PowerPoint.
  • Perform internet searches, prepare market and supplier reports.
  • Set up and manage all Contracts for Global Procurement team using Online Approval System. Insuring full compliance with “Contracts Authority Matrix”.
  • Act as key interface to external service providers for e-sourcing and commodity intelligence.
  • Organisation of complex travel arrangements at optimum cost and efficiency, including preparation of itineraries for Global Procurement Director.
  • Organise, co-ordinate and attend meetings, includes minute taking, compiling and the distributing of action points and following up with the team.
  • Manage expenses for Global Procurement Director(s) & his key team members based in Slough.
  • Flexible to changing workload and seasonal departmental pressures.
  • Subscription management – feedstock data
  • Other ad hoc duties, as required.
  • Price update – support team in getting procurement system updated

 

Is this You?

 

  • Educated to Degree or equivalent, expert in Excel, fast learner of IT systems
  • Ability to interpret and analyse financial data to an intermediate level
  • Experience as a Personal Assistant with the ability to manage diaries
  • Commercial and business awareness
  • Enthusiastic team player
  • Ability to work on own initiative, manage own workload and take ownership to resolve issues
  • Strong attention to detail with a questioning nature to identify anomalies in data
  • Ability to work to under pressure and to tight deadlines but also proactively in quieter times
  • Ability to work with integrity and confidentially at all times
  • Proven verbal and written communication skills at all levels
